Client Onboard Process - Guidance for Completing the Data Import Template

1 – Users: 
In this section you can add the people/users that need to have access to your Blyott Platform. You will start with either Admin or User and include the following information:

  • First Name
  • Last Name
  • Username (must be unique)
  • Email (please be sure to add the correct work email, as they'll receive an invitation to access).
  • User Role
    >  Administrator: Can administrate the system, make changes and add other users.
    >  User: Can only access and search for assets on the system.
             - Access Level (see 'Section 2, Access Levels').
    >  Choose one or more access levels from the list (Section 2).
    >  If you wish a user to access/view all assets, simply write ‘total access’.
    >  If you are NOT using access levels, leave this field blank.

2 – Access Levels: 
The access levels allow you to determine which users can see or keep track of what equipment. It's likely that users in a certain division will only want to keep track of their own assets.
For example, a nurse in the cardiology department may only require to track cardiology based equipment. Whereas a site engineer or technician may need to track equipment from various departments for maintenance.
In access levels you have option to define/create wards/rooms and types of equipment and add additional more suitable criteria.

  • Access Level (enter the access levels/names/rooms etc that you want to use).
  • Description (relevant to that access level).

3 – Locations: 
Here you will need to add the locations where you expect to install locators and track equipment. In addition to the name and code, you have the option to include up to ten 'custom fields' where you can add more detailed information like floor, wing, ward or room name for example.

• Location Name
• Location Code (must be unique)
• Location Type:
       > Active (constantly in use).
       > Inactive (we suggest marking locations such as 'storage rooms' as inactive or any location where equipment is stored, but not actively used).

You can add up to ten custom fields for each location.

4 – Hardware - Locators: 
The goal of the 'Hardware – Locator' table is to store all of the locator hardware that you are using. By getting the basic information on each model you have in use (Base RSII and Max Battery) and using machine learning modules, we are able to calculate equipment location. We can also calculate battery life more easily and accurately.
You should provide a unique list of the locator hardware that you have, meaning that it is enough to list out one hardware with the same manufacturer and model. Even if you have ten such locators, you list all ten and assign them to that particular model.

  • Hardware Type (this will prepopulate)
  • Manufacturer (add relevant name)
  • Model (add specific model)
  • Hardware Model (this will prepopulate)
  • Base RSSI
  • Max Battery

5 – Hardware - Tags:
The same explanation for 'Hardware Locators' applies to this section also. The only obvious difference is that we are now tracking the manufacturer and model of the Bluetooth tag.

  • Hardware Type (this will prepopulate)
  • Manufacturer (add relevant name)
  • Model (add specific model information)
  • Hardware Model (this will pre-populate)
  • Base RSSI
  • Max Battery 

6 – Locators: 
Here you will enter all locators that you are using to receive signals from Bluetooth tags. Each locator has to have an associated location as this is how the system 'knows' where your equipment is located.
As an example, the Bluetooth tag that is linked to a piece of equipment was read by Locator A – when you entered Locator A into the platform, you defined it as being in Storage Room 1.

  • Locator Name
  • MAC ID
  • Locator Type
    >  WiFi (if you are using a WiFi access point to pick up a Bluetooth tag signal)
    >  Fixed
    >  Mobile

  •  Location Code (enter the name of the location where you have placed the locator – this data should come from what you have entered in the Location Code section.
  • Locator Model (enter one of the options that you added in the Model section)
  • Locator Serial Number
  • Locator MSI

7 – Tags: 
Here you will enter all of the tags that you have purchased in order to track your equipment. Each tag has unique information called a MAC Address. You can fetch this information by using an NFC Reader App (this can be downloaded onto any smart mobile device). 

  • MAC ID
  • Tag Type
        >  Mobile (if the tag is likely to be attached to a piece of equipment that will be moved)
        >  Fixed (if the tag is going to be attached to a piece of equipment that is not expected to move)

  • Fixed Location (enter data here ONLY if the tag is fixed. You need to add the Location name of where you would expect to find this piece of equipment/tag)
  • NFC ID
  • Tag Model (enter one of the items you entered in the Hardware Model section)

8 – Assets: 
Here you enter all of the assets that you want to keep within the platform. Equipment you want to track, find it's real-time location, is going to be assigned with the tag. This means that in the spreadsheet you need to enter which tag (using MAC ID/Address) is going to be attached to a specific asset. You will also need to physically place a tag on that piece of equipment.

  • Asset Name
  • Asset Code (must be unique)
  • Permissions
          >  If you want to limit access visibility to users in specific access levels, select one or more relevant options.
          >  If you don't want to limit an assets visibility, simply write 'All Users' and everyone in your system will be able to find the asset.
          >  If you are not using access levels, leave this field blank.

  • Tag Assigned
          >  Leave this field blank if you have no interest in tracking this asset.
          >  Assign the tag if you DO want to track the asset – use the value provided in the MAC ID field.
